What Makes an Enquiry Email Quotable

A photograph shows a shape, not a hide weight, a lining, a plating or a carton, and each moves the unit price. A quotable enquiry is a five-line brief answering the seven fields below, sent with the picture to the person who prices it.

The Seven Fields of a Complete RFQ

Seven fields settle every variable that moves a unit price, and a missing one causes a second pass.

The seven RFQ fields, with example values
FieldWhat the field settlesExample value
1. Quantity and colour splitUnits per colourway, and how the order divides2,400 pcs: 800 black, 800 tan, 800 olive — each above MOQ 500 pcs
2. Target price and trade termThe price ceiling, and which Incoterm appliesUSD 24.50 FOB Xiamen, or USD 31.00 DDP Hamburg
3. Material and hardwareMaterial by name and weight, lining, plating, zip1.4 mm top-grain leather, 210D lining, brushed light-gold hardware, YKK zip
4. CalendarThe on-board date, and whether it can moveOn board by 12 March; sampling must start by 5 January
5. Print and packagingBranding method, position and pack formatDebossed logo 60 x 12 mm, woven label, dust bag, carton marks
6. Compliance and destinationMarket, test regime, audit referenceEU: REACH (EC 1907/2006) Annex XVII, chromium VI to ISO 17075
7. Sample requirementWhat the first sample must proveOne proto in black plus a swatch card; sheet returned in 5 days

Field two is the one buyers withhold most and the one that shortens the process most: a target price tells the specification where to land on edge finish, lining weight and hardware type. Field six moves the calendar, because REACH (EC 1907/2006) testing and a Proposition 65 review sit before release.

Reply Window and What Arrives in the Reply

Every enquiry is acknowledged within one working day and priced within two, counted from a complete brief. Custom work with new tooling or a bonded construction takes three to four days, because it includes a pattern trial.

  • A cost band across five lines — material, hardware, labour, packaging, handling to the port.
  • The exclusions, named — tooling, test fees, freight and duty, and branding that needs its own plate.
  • A sampling window, a sample fee and the earliest slot — 6-10 working days, USD 150-400 per style, inside a 35-50 day window.

A quotation holds for 30 calendar days, because hide prices, plating costs and freight rates move. Past the window the band is rebuilt, and why a re-issued quote moves explains the arithmetic.

Six Steps From Enquiry to a Priced Quote

  1. Log and acknowledge, same or next working day. Missing fields are named, and the enquiry gets a reference that follows it to the order.
  2. Buildability review, 1 working day. Panel count, strap attachment and closure are checked against what the lines have run.
  3. Material check, 1-2 working days. Availability, plating reference and yield are confirmed, with substitutions where a material cannot hold the date.
  4. Cost build, 1 working day. Five cost lines assembled, tooling priced separately, band set with its tolerance.
  5. Written quotation, by working day 2. Band, exclusions, sampling window, slot and document list in one message.
  6. Clarification, 1-2 working days. Only where a field changes.

A hide that photographs well may not be stocked in the weight the pattern needs, and a plating finish can sit on a 20-day tooling lead. The sampling timeline shows where those days go.

Sample Fees and How the Credit Works

A sample is charged because it consumes a hide cut, hardware, bench hours and a courier. The fee runs USD 150-400 per style, credited against the bulk invoice at MOQ 500 pcs per style / colourway. A logo plate costs USD 80-250 per mould and stays with the brand.

Two revision rounds sit inside the sample fee; a third caused by a change of direction is charged at cost, while one caused by a specification error on the production side is not. Sample approval discipline keeps rounds at two.

Why a Quotation Slips, and How to Prevent It

Six causes explain most of the delay, and all of them are information problems.

  • Material by look, not by name — 1-3 days and a band 15% wider. Send a name, weight and finish.
  • No target price — two or three rounds of re-specification. State a ceiling, even a range.
  • Colour split decided later — MOQ recalculated per colourway.
  • Destination market left open — test scope unknown, compliance unpriced.
  • Artwork not print-ready — packaging re-quoted. Supply vector files with the dieline.
  • Sign-off by committee — 5-8 days of silence at the approval gate.

The last is the easiest to remove: a quotation that waits for four people arrives after the price has moved. Nine things a quotation should never hide and comparing two bands are the checks.

Where to Reach Us, and When We Answer

Enquiries go to one address and the reply comes from the same one. There is no form here — the site is static, with no form handler — so the seven fields travel by email.

Quanzhou is why the default term is FOB Xiamen: the port is the natural exit for goods made in Fujian, and the inland leg is short enough that a late finishing run catches a booked sailing. CIF and DDP are quoted on request, and the regional pages set out what each market adds.

Before You Send: Questions Buyers Ask

The full set sits on the FAQ page, and the MOQ arithmetic explains the 500 pcs floor. Scope note: goods run through our validated partner factory Quanzhou Yingming Bags, and a construction with no precedent samples in 12-15 working days.

Frequently Asked Questions

What should I put in a handbag quote request?

Seven fields: silhouette, quantity and colour split, target price and trade term, material and hardware, on-board date, print and packaging brief, and destination market. A photograph and a sketch help but do not replace them. Send all seven to service@junyuanbags.com and the enquiry is priced once.

How fast will I get a quotation?

Acknowledged within one working day and priced within two, counted from the point the seven fields are complete. Custom work with new tooling or a bonded construction takes three to four working days, because the cost build includes a pattern trial. Incomplete briefs get a same-day reply naming the gaps.

How long does a quotation stay valid?

Thirty calendar days from issue. Hide prices, plating costs and freight rates move independently, so a band accurate in March is a guess in May. Past the window the quotation is rebuilt rather than reissued, which takes a day and occasionally changes the number itself.

Do you charge for samples?

Yes, USD 150-400 per style depending on construction, which recovers material, hardware, bench time and courier. The fee is credited in full against the bulk invoice at MOQ 500 pcs per style / colourway. Tooling is charged separately because the mould belongs to the brand and is reused on a reorder.

What is the minimum order quantity?

MOQ is 500 pcs per style / colourway, not 500 pcs per order. Each colourway carries its own material lot, so three colours at 500 pcs is 1,500 pcs and three buys. Above 2,000 pcs per colourway the unit price drops, because the lot is spread over more units.

Can you quote from a photograph alone?

Only as a wide band, because the price sits in details a photograph does not show: hide weight, lining, plating, stitch density and carton. Send the picture with a material name, weight, target price and quantity and the band narrows to something usable. Without them the first sample becomes the quotation.

What if I do not have a tech pack yet?

A five-line written brief is enough to price. A tech pack makes the specification repeatable, and it can be built during sampling from your sketch, a reference bag and the answers to the seven fields. Many programmes close the tech pack at the pre-production sample stage.

Which trade terms can you quote?

FOB Xiamen is the default, because the port is the natural exit for goods made in Fujian. CIF to your port and DDP to your door are quoted on request, with duty, freight and customs entry priced in. The term changes what the quotation covers, so name it early.

What happens after I accept a quotation?

The specification and sample fee are confirmed, sampling starts inside the 6-10 working day window, and the revision list closes before the deposit moves. The deposit then releases material and books the bulk slot inside the 35-50 day window. Nothing is cut before sample approval.

What compliance information do you need from me?

The destination country, the sales channel and whether the bag is marketed to children. Those three decide whether the pack carries REACH documentation with chromium VI to ISO 17075, a California Proposition 65 review, CPSIA limits and tracking labels, and whether a BSCI or Sedex audit reference is expected.

Are you the factory that makes the bags?

No. Goods run through our validated partner factory Quanzhou Yingming Bags, which is SGS-validated. QUANZHOU JUNYUAN BAGS is a handbag sourcing and programme management company: the specification, material buy, schedule, compliance pack and inspection sit with the programme team, while the lines belong to the partner.

When can I reach someone in Quanzhou?

Office hours are Monday to Friday 09:00-18:00 and Saturday 09:00-12:00 China Standard Time, which is UTC+8. Email service@junyuanbags.com is answered on the next working day, and WhatsApp on +86 177 5002 0688 is faster for a live sample question.

People Also Ask

How long does a handbag quotation take?

Two working days from a complete brief, and three to four days where custom tooling or a bonded construction needs a pattern trial. The clock starts when the seven RFQ fields are complete, not when the first email lands.

Should I send a tech pack or a photograph?

Both, plus the seven fields. A photograph fixes the look, a tech pack fixes the specification, and the fields fix the price. If only one is ready, send the photograph with a material name, a quantity and a target price.

What does FOB Xiamen mean for my landed cost?

The quotation covers goods packed and delivered on board at Xiamen, so ocean freight, insurance, duty and destination charges sit outside it. Add those before comparing a FOB band with a DDP figure, otherwise the cheaper-looking number is only the shorter list of costs.

Can a price be quoted before material is chosen?

Only as a wide band. Material is the largest single cost line in most handbags, and a hide, a coated roll and a canvas at the same visual weight can differ by a third. Choose the family and the weight first and the band narrows to within about 10%.
